Customer phone data is not always usable. Entry mistakes, changed numbers and long suspension cause marketing messages, order notices and support calls to hit invalid records repeatedly, wasting budget and degrading experience.
Validity screening evaluates format, state and basic reachability before sending or calling. It does not promise that a user will answer; it removes clearly undeliverable records so people and budget focus on contacts more likely to interact.
Common problem classes are malformed syntax, long-suspended or cancelled numbers and reachable numbers reassigned to someone else. Each lowers efficiency and increases manual reconciliation in a different way.
Bulk sends to invalid numbers waste channel fees and can weaken delivery performance. Providers may limit or review accounts with persistent abnormal sending patterns. For agents, repeated calls to disconnected or reassigned numbers consume time and can create complaints when a new holder receives communication intended for the former customer.
Validate format at registration, clean full lists before CRM import, review retained records before major campaigns or billing notices, and periodically recheck long-inactive contacts.
Store valid, suspected invalid and review-needed states rather than deleting immediately. Confirm uncertain records through another authorized channel such as in-app messaging or email, preventing both accidental loss of a customer and repeated disturbance of an expired contact.
Run screening alongside privacy governance: explain the phone's purpose, collect only necessary contact data and restrict logs and results. Treat can send and should send as separate decisions, managing technical quality, lawful contact and customer trust together.
