Total usually means records admitted after parsing, validation and deduplication, not raw spreadsheet rows. A smaller total can result from blanks, malformed input, duplicates or unreadable rows. Reconcile this number first so import problems are not misdiagnosed as low activity.
Valid count represents records meeting the job's stated definition, which may focus on registration, searchability or recent reachability. Treat it as an available screening segment rather than a performance promise; source, market and age heavily influence it.
